When you create an account or use ShoutHive, we may collect personal information such as your name, email address, and billing details. We also collect usage data including pages visited, features used, and interaction patterns to improve our service.

ShoutHive discovers publicly available content from social media platforms (Reddit, X, Threads, TikTok) based on keywords you configure. We store the text, author name, and platform handle of public posts that match your brand keywords.

When customers submit testimonials through your collection forms, we collect the information they provide — including their name, email address, job title, company, star rating, and testimonial text. This data is stored securely and only displayed publicly after you approve it in the review queue.

When visitors record or upload video testimonials through your video testimonial pages, we collect the video file, along with any information they provide such as their name, email address, and responses to your custom prompts. Videos are hosted and transcoded by Cloudflare Stream on our behalf.

2. How We Use Your Information

We use your information to:

• Provide, maintain, and improve the ShoutHive service
• Process your transactions and send related information
• Send discovery notifications and permission request emails
• Deliver testimonial request emails via email campaigns on your behalf
• Analyze usage patterns to improve our product
• Respond to support requests and communicate with you

3. Data Sharing & Third-Party Services

We do not sell your personal information. We share data with the following third-party service providers that help us operate ShoutHive. Each provider is contractually obligated to protect your data and use it only for the purposes we specify.

• Clerk — authentication and user management
• Stripe — payment processing and billing
• Anthropic — AI-powered testimonial analysis (testimonial text is sent for relevance scoring and sentiment analysis; no personal account data is shared beyond the testimonial content itself)
• Resend — transactional and campaign email delivery
• Cloudflare Stream — video testimonial hosting, transcoding, and delivery
• Google Analytics (GA4) — website analytics (loaded only with your consent)
• Microsoft Clarity — session replay and heatmaps (loaded only with your consent)

4. Public Testimonials & Non-User Data

Testimonials displayed on your public wall or via widgets are sourced from publicly available social media posts. ShoutHive provides built-in permission tracking and consent management tools. You are responsible for ensuring proper consent is obtained before displaying testimonials that may require it under applicable laws.

ShoutHive processes publicly available social media data — including author names, handles, and post content — under legitimate interest to provide the service. Individuals whose public posts are discovered by ShoutHive can request removal of their data by contacting us at privacy@shouthive.com.

5. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest. Access to personal data is restricted to authorized personnel only.

6. Data Retention

We retain your account data for as long as your account is active. Discovered mentions and testimonials are retained until you delete them. If you close your account, we will delete your data within 30 days, except where retention is required by law.

7. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export your personal data. You can exercise these rights by contacting us at privacy@shouthive.com.

Your data may be transferred to and processed in the United States, where our infrastructure and sub-processors are located.

8. Cookies & Tracking

We use essential cookies to maintain session state and authentication via Clerk. These are required for the service to function and cannot be disabled.

We use analytics cookies only with your explicit consent. When you visit our website for the first time, a consent banner allows you to accept or decline analytics tracking. If you accept, we load:

• Google Analytics (GA4) — to understand traffic patterns and how visitors use our website
• Microsoft Clarity — for session replay and heatmaps to improve usability

Your consent preference is stored in your browser's local storage. Analytics scripts are never loaded unless you explicitly accept. You can change your preference at any time using the cookie settings link in the site footer, or by clearing your browser's local storage.

9. AI Processing

Testimonial text — from social media discoveries, form submissions, and imported reviews — is processed by AI (Anthropic Claude) for relevance scoring, sentiment analysis, and quote extraction. No personal user account data is sent to AI models; only the content of discovered or submitted testimonials is processed. AI-generated scores, sentiment labels, and extracted quotes are stored alongside the testimonial in our database.

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.
